Southern Illinois University-Carbondale COEHS Executive Council met Thursday, Oct. 13.

Special Meeting of College Leaders

Thursday, October 13, 2016 —9:30 AM, Wham 219

The meeting was called to order by Dean Matthew Keefer.

Present: Saran Donahoo, Carl Flowers, Jeanette Johnson, Saliwe Kawewe, Matthew Keefer, Christie McIntyre, Jodi Miley, Nancy Mundschenk, Cynthia Sims, Juliane Wallace, Keith Waugh, Susan Wills

Absent: Katrina James, Paul Melzer

Administrative Reports (Cabinet):

Dean’s Report/Announcements:

- Keefer has been meeting with people to discuss plans for the STEM Center. There is a possibility of a $3million grant.

- Keefer mentioned information he received from John Warwick, the Dean of Engineering, about various kinds of zero-based budgeting options.

- Keefer announced a Dean Retreat will be held on November 15 to discuss program prioritization.

- Keefer announced plans to have an EHS Talks before the end of the semester.

- Keefer is working on putting together an advisory/alumni board. He is still looking for some people from the human services side. The first meeting is being planned for early December. Miley mentioned that this would be the group that reviews applicants for the college alumni scholarship. There will be engagement, education K12, and human sciences pieces, as well as additional ideas.

- The Minutes of September 22, 2016 were presented and approved.

- The Minutes of the leaders meeting of October 6, 2016 were presented and approved.

- Keefer reminded the EC of the upcoming online, annual Ethics training (October 17 – November 8). Student workers and extra help employees will complete the offline training program.

- Keefer announced that Promotion & Tenure eDossiers are to be passed up to the Dean by November 1. In order to have time to complete the process at the unit level, faculty applicants must receive their letters from their department head no later than Monday, October 24. This allows for the 5 weekday response from the applicant as set defined in the Faculty Agreement (Section 13.02. Promotion. i.). * Darla will send the current college-level list of P&T members to Chairs/Directors.

Associate Dean’s Report (Cynthia Sims)

- Sims announced that in the future faculty will vote on whether or not retiring faculty will be considered Emeritus/Emerita.

- Sims reported that the university is going to a combined (undergraduate, graduate), digital catalog. This will allow for changes throughout the year. Current and past catalogs have many errors.

Office of Teacher Education Director’s Report (Nancy Mundschenk)

- Mundschenk reported that program coordinators for school licensure programs are preparing their ISBE Annual Program Report for 2015-2016. * They must be submitted by November 22 to Mundschenk so she can upload them with administrator access to the IWAS site. She cannot submit as a unit until all of the programs are submitted.

Business Manager Report (Susan Wills): – No report

Recruitment and Retention (Jodi Miley):

- Miley reminded the EC that the next Open House is scheduled for Saturday, October 15, 9:30 a.m. – 11:00 a.m. She will follow-up with those who have volunteered to help.

- Miley emailed an admit report to Undergraduate Program Coordinators, Advisors and Chairs/Directors earlier in the week. She reported that 1300 have inquired about a program, 287 have applied to SIU, and 117 have been admitted to one of our programs.

Elementary Education has 20 admitted students. Social Work has 18 admitted. Sports Administration has 12 admitted. Special Education has 10 admitted. Miley intends to send out this report each month to Undergraduate Program Coordinators, Advisors and Chairs/Directors. Hobson’s Funnel report shows there are 17,000 prospects for our college.

- Miley reminded the Chairs/Directors of an email she sent outlining the Extern Program asking faculty to announce the program and encourage participation.

Graduate Council Report (Saran Donahoo):

- –see (10-6-16_graduatecouncilreport_donahoo). Donahoo mentioned they are finalizing the process for having an accelerated master’s program. At this time a master’s program can accept up to 9 credit hours of undergraduate credit. Must state it up front and make sure it is documented at the graduate school when the student comes in. Can do this without filing an RME.

Web Specialist (Jeanette Johnson): –see (10-13-16_johnsonreport)

- * Johnson is asking Chairs/Directors to submit edits to the Alumni Association Board report she sent by email by noon on Friday, October 14.

- Johnson reminded the EC that Journeys will be produced by University Communications. *She asked that information (faculty and student accomplishments, awards, research, events) continue to be submitted to submit2journeys@siu.edu. The last date to submit for the December issue is November 1.

- Johnson announced that equipment has been found to use for the new Promotional Video Initiative.

- Johnson mentioned she continues to provide maintenance to the college websites, interactive student handbooks and fill-in forms, and also updates information on the TV monitors. Johnson indicated she is converting Brown Bag video’s audio to close caption.

She also indicated she is working on an extensive update to the Health Education and Recreation website.
